Role Summary:

Do you have a passion for numbers and want to enhance your skills? The Finance Assistant is responsible for assisting the Director of Finance in managing, processing and troubleshooting various accounts and transactions.  This is an ideal role for someone looking to gain experience in the industry.  Reporting to the Director of Finance, the primary duties of this role consists of a wide range of accounting duties and functions that need to be executed in an effective manner to support the smooth operation of the finance department. This role is mostly supportive in nature and are responsible for carrying out the accounting duties accurately by applying various accounting principles.  This is a permanent full-time role working out of our downtown Vancouver office.

Overall Responsibilities, General Tasks and Duties:

  • ConnectWise Sell Invoicing and Purchase orders entry into QuickBooks
  • Reconciling credit card charges for Purchase Orders and following up on missing receipts
  • Bank Deposit into QuickBooks  
  • Manage executive expense reports and track receipts
  • Monthly filing of Government remittances
  • Managing staff Expense reports (verifying receipts and taxes) in ConnectWise
  • Accounts receivable collections and identifying and/or flagging issues
  • Collect and enter data for various financial spreadsheets
  • Assist the Financial Director in creating financial reports on a regular basis
  • Back up to Director of Finance for Payroll
  • Organizing and filing documents as needed
  • Electronic filing of accounts payable invoices daily
  • Assist with various admin tasks as needed
  • Assist with purchases for events, scheduling and orders as needed
  • Assist with Office Management duties as required
  • Answers question and provide assistance to stakeholders, internal teams, and clients as needed
  • Attend finance department and company-wide meetings, sometimes assisting with financial reporting to managers and senior executives

Knowledge, Skills, and/or Abilities:

  • Knowledge and experience in bookkeeping, accounts payable/receivable and/or related field
  • Outgoing, positive attitude with a passion for multi-tasking and troubleshooting
  • Superior attention to detail
  • Knowledge of QuickBooks considered an asset
  • Preferably 2 years experience as a Finance Assistant, bookkeeper accounts payable/receivable and/or related industry experience
  • Strong organizational, presentation, and client service skills
  • Interpersonal skills: such as telephone skills, communication skills, active listening and client-care
  • Ability to multi-task and adapt to changes quickly
  • Ability to learn new software quickly and efficiently
  • Typing skills to ensure quick and accurate entry
  • Computer savvy, including competent use of Word, Excel
  • Excellent mathematical skills
  • Understanding of data privacy standards; integrity; honesty and solid communication skills
  • Self-motivated with the ability to work in a fast-moving environment
